PaperFreeCT Scan is provided by PaperFreeCT Inc. ("PaperFreeCT", "we", "us", or "our").
This Privacy Policy explains how PaperFreeCT Scan processes information when authorized users scan, select, share, and transmit documents to their organization's PaperFreeCT system.
PaperFreeCT Scan is a business application intended for authorized users of organizations using PaperFreeCT. The application does not provide public account registration. A mobile device must be paired with an existing authorized PaperFreeCT user and store before documents can be submitted.
To provide the service, PaperFreeCT Scan may process limited account, device, technical, and document information.
When a device is paired with PaperFreeCT, we may process:
We may process limited technical information necessary to operate and secure the service, including:
When a user chooses to scan, select, or share a document, PaperFreeCT Scan processes the document or image chosen by the user together with information required for secure delivery, which may include:
PaperFreeCT Scan accesses the camera only when the user chooses to scan a document or pairing QR code. Files and images are accessed only when the user selects them or explicitly shares them with PaperFreeCT Scan.
PaperFreeCT Scan does not require precise location, contacts, microphone access, or advertising identifiers for its operation.
Information processed through PaperFreeCT Scan is used only to provide, operate, support, and secure the PaperFreeCT service. This includes:
PaperFreeCT does not sell personal information. We do not use information submitted through PaperFreeCT Scan for advertising, behavioural advertising, cross-application tracking, marketing profiles, or data-broker activities.
PaperFreeCT Scan is designed to deliver documents to the customer's own PaperFreeCT infrastructure.
When a user submits a document through PaperFreeCT Scan, a temporary copy is securely transmitted over HTTPS to PaperFreeCT-controlled cloud infrastructure hosted using Amazon Web Services (AWS). Mobile document storage is currently located in the AWS Canada (Central) region.
The customer's authorized PaperFreeCT mini-server retrieves the document, validates its size and cryptographic hash, and imports it into the customer's local PaperFreeCT Document Tray.
After the customer's PaperFreeCT server confirms successful retrieval, the temporary cloud copy is deleted.
If the customer's server does not retrieve the document, the temporary cloud copy is automatically eligible for deletion after 60 days.
This temporary cloud storage is used only to facilitate secure document delivery from the mobile device to the customer's PaperFreeCT infrastructure.
Pairing credentials and PaperFreeCT profiles are stored using secure storage facilities provided by the mobile operating system.
Documents created or selected for upload may temporarily remain in the application's private storage while awaiting transmission. Documents that have not yet been successfully transmitted may remain locally so the user can retry the transfer.
The application may also retain limited local upload-history information so that users can see the status of recent transmissions.
PaperFreeCT does not provide mobile application data to third parties for advertising, marketing, data brokerage, or independent commercial use.
Information may be processed by Amazon Web Services as an infrastructure and storage service provider solely for operating the PaperFreeCT service.
Documents are delivered to the PaperFreeCT customer organization and store associated with the user's paired profile. Once a document has been delivered to the customer's PaperFreeCT infrastructure, that customer controls its subsequent storage, access, use, and retention.
Information may also be disclosed where required by applicable law, legal process, or where reasonably necessary to protect the security and integrity of PaperFreeCT systems.
PaperFreeCT uses technical and administrative safeguards designed to protect information processed through PaperFreeCT Scan.
Communications with PaperFreeCT services use encrypted HTTPS connections. Mobile authentication credentials are stored using secure operating-system storage. Document transfers use restricted, time-limited authorization, and document integrity is verified using cryptographic hashes.
No method of electronic transmission or storage can be guaranteed to be completely secure. PaperFreeCT limits access and processing to what is reasonably necessary to provide and secure the service.
Temporary cloud document contents are deleted after successful retrieval by the customer's PaperFreeCT server or are subject to automatic deletion after the applicable retention period, currently 60 days.
Limited account, pairing, device, upload, delivery, security, and operational records may be retained for longer periods where reasonably necessary to operate, secure, troubleshoot, and audit the PaperFreeCT service or to comply with legal requirements.
Authorized users or administrators can revoke a paired PaperFreeCT mobile profile.
Documents already delivered to a customer's local PaperFreeCT system are under that customer's control. Requests regarding deletion or retention of those documents should be directed to the applicable PaperFreeCT customer or store administrator.
PaperFreeCT Scan is a business application and is not directed to children. We do not knowingly collect personal information from children through the application.
We may update this Privacy Policy when PaperFreeCT Scan, our infrastructure, or applicable privacy requirements change. The current version will be published on this page and will identify its effective date.
Questions or privacy requests concerning PaperFreeCT Scan may be submitted through the PaperFreeCT contact form.
